What a tracker is and what it is not

A vehicle tracker is a satellite positioning receiver, a mobile data modem, a power connection and, on better units, a small internal cell so the device keeps reporting if the supply is cut. It sends position and movement to a platform you log into, and that platform is a subscription. The hardware is a one-off decision and the software is the thing you live with, so ask to see the interface on a phone before you commit to anything.

It is not the same as the course GPS system on a screen in front of the driver, which exists to tell golfers distances and to move play along. It is not a booking system either. A tracker knows where a machine was and when it moved. It does not know who was driving unless you connect that separately with a key fob, a driver card or a booking record, and most fleets never do, which limits what the data can fairly be used for.

Theft recovery is the weakest case on its own

Most people buy tracking after a theft or after a neighbouring site loses machines, and recovery is the promise in every brochure. It does happen. It also depends on the unit surviving the first hour, on there being a mobile signal where the machine ends up, on somebody noticing quickly, and on the police having capacity to act on what you give them. A machine that is found days later has often been stripped of the parts that were worth taking.

Treat tracking as one layer rather than the answer. Physical security, sensible storage, immobilisation, marked components and a proper register of serial numbers all do work that a tracker cannot. On the insurance side, ask your broker directly: some policies expect a device meeting a particular standard, some want it professionally installed, and the terms sit in your own schedule rather than in general advice. Get that answer before you buy hardware, not after a claim.

A geofence is a boundary you draw on a map, with an alert when a machine crosses it. Which ones sit unused and are quietly ageing anyway. Whether the fleet is the right size for the demand, or whether two extra machines would remove the queue on a Saturday. When to schedule servicing by actual use rather than by the calendar, which is how the manuals usually specify it.

It also gives you a rotation you can defend. Even wear across a fleet means the machines reach the end of their life together, which makes replacement planning simpler and keeps the worst buggy in the fleet from being noticeably worse. None of this needs sophisticated analysis. A weekly report showing hours per machine, printed and pinned up where the team can see it, does most of the work by itself, and it turns a vague sense that the fleet is stretched into something a committee can act on.

What the electrical data can honestly see

This is where expectations run ahead of the hardware. A basic tracker measures the voltage on its own supply and reports it. That reading tells you the machine is alive and roughly whether the pack has collapsed, but it is not a fuel gauge, and it moves with load, with temperature and with how recently the machine was driven. Reading it as a state of charge will have you replacing healthy batteries and trusting tired ones.

Meaningful state of charge normally requires the tracker to talk to the machine's own electronics: a battery management system on a lithium pack, or the controller on some models. Whether that connection exists depends on the machine and the tracker, and it is a question for both suppliers rather than something to assume. Charging detection is usually inferred from a voltage rise, so the platform can tell you a machine appears to be charging, which is not the same as telling you it finished.

Telematics platforms will happily report speed against a limit you set, harsh acceleration and braking, and time spent in places machines should not be. On a site with pedestrians, that data is genuinely useful. It supports a conversation about how a shared path is driven, it gives you something factual after an incident, and it shows whether a briefing changed anything or whether everyone nodded and carried on. It is worth deciding what you would do with a report before you switch it on, because data nobody acts on is only a liability.

It is also the fastest way to lose the goodwill of the people who make a site work. The difference is in how the data is used. Agree in advance what is reviewed, how often, and what happens with it. The correct supply is the machine's own low-voltage circuit through its converter, fused at the source, with cable sized for the run and terminals crimped and sealed rather than twisted. Anything permanent on a machine in warranty is worth clearing with the supplier first.

Then think about placement. The unit needs a view of the sky, which a plastic body allows and a metal panel or a metallic wrap does not. It should be hidden enough that a thief does not find it in the first minute, dry, away from heat, and secured so it does not vibrate loose on turf. Record which unit is in which machine in your asset register, along with the serial number, because a fleet of identical buggies and a list of identical device names is no help at all during an incident.

Staff, personal data and the policy behind it

Once a tracked machine is driven by a member of staff, the location data is about an identifiable person and UK data protection law applies to it. That does not make tracking unlawful. It means you need a clear reason for collecting it, you must tell people plainly what is collected and why, you should collect no more than the reason justifies, and you need to decide how long the records are kept rather than keeping everything indefinitely.
