Start with the job, not the buggy

The most common mistake is starting from the vehicle: how many seats, which model. Start instead from what the buggy has to do. Is it moving guests, or moving equipment, or both? Over what distance? On what ground? For how many people in the busiest twenty minutes? Answer those and the right vehicle is usually obvious.

This is the same discipline that runs through everything we advise: the event decides the buggy, not the other way round.

Passengers, load, or both

A passenger buggy and a utility buggy are built for different work. A passenger buggy carries people comfortably; a utility buggy has a load bed for equipment, crates and kit. Trying to do one job with the other vehicle is where events come unstuck: guests perched among catering boxes, or a passenger buggy overloaded with chairs.

Many events genuinely want both, a passenger buggy for people and a utility for the gear, and where the budget allows that is usually the right answer. Where it has to be one, a passenger buggy with a small load space behind covers most of it.

Size for the peak, not the total

For passenger work, the number of seats matters less than how many trips the busiest window demands. Forty guests arriving over twenty minutes is a different problem from forty guests spread across an afternoon, and the first needs more capacity than the second even though the headcount is identical.

The ground decides a lot

The surface and the gradient rule some choices in and out before anything else. Firm made-up ground and short grass suit any buggy. Slopes are fine for the vehicle but lengthen the route. Soft, rutted or waterlogged ground is where a standard buggy struggles, and we will tell you that honestly rather than send one to get stuck.

Describe your ground truthfully, including what it does when it rains, and let it shape the choice. It is better to know at quote stage than on the day.

Accessibility is its own decision

If a guest uses a wheelchair, that is not a passenger-buggy question with a bit of help. It needs the accessible vehicle: a rear ramp, a secured wheelchair position and restraints, so the guest is carried in their own chair rather than transferring twice. Deciding this at the outset, rather than discovering it late, is what makes it work.
