Two machines advertised with the same capacity are often quoting two different things. One figure may be total payload with passengers counted, another the bed alone. Towing numbers assume level, firm ground and a particular kind of trailer, usually stated somewhere small. And a total says nothing about where the weight is allowed to sit, which is what actually damages components. Read the plate on the machine and its handbook for the vehicle in front of you, and treat a listing's headline number as advertising until it is confirmed.

What a capacity figure is describing

Every capacity figure is the answer to a question, and the trouble starts because the question is rarely printed alongside it. A maker may be stating the total weight the vehicle may carry above its own unladen weight, or the weight the bed alone may take, or the weight it may pull. Those are three different quantities describing three different limits, and a listing that reduces them to one number has thrown away the part that mattered.

The underlying limits are physical. A chassis and suspension can carry so much, an axle can take so much through it, brakes can stop so much, and a transmission can move so much up a slope for so long without cooking. A maker sets figures that keep all of those inside their design margins, with allowance for the fact that real loads are not neatly distributed. When you exceed one, you are not usually stopped. You are simply using something up faster.

Passengers, driver and the things already aboard

The first question to ask about any payload figure is what is already counted inside it. Some makers quote a total that includes the driver and every passenger. Others quote a figure over and above a fully seated vehicle. On an electric machine the batteries are usually part of the unladen weight rather than the payload, but on a machine offered with more than one pack option, the heavier pack eats into what is left. None of this is deception. It is just a convention that varies.

Then count what has been added since the vehicle was built. A cab or enclosure, a fixed screen, a roof rack, a cargo box, a tow hitch, a beacon and a set of heavier tyres all weigh something, and they are permanently aboard. On a small vehicle those fittings account for a meaningful share of what the machine was allowed to carry, and nobody deducts them for you. The figure on the plate did not change, but the weight available to you did.

Bed capacity against total capacity

A load bed carries its own rating, and it is a separate limit rather than a share of the vehicle total. The bed figure is about the structure of the bed and the axle beneath it. The vehicle figure is about the whole machine. You can be inside one and outside the other without noticing: a bed loaded to its own limit while two passengers ride in front may put the vehicle over its total, and a light load placed badly can overload a rear axle while the total looks comfortable.

This is where two machines advertised with the same headline diverge in practice. One may be quoting a generous bed rating on a chassis with a modest total, and the other the reverse. If you carry both people and materials at the same time, which most working sites do, the total is the figure that governs your day. If the vehicle is mostly a load carrier with one driver, the bed rating and the rear axle matter more.

Towing figures and the conditions behind them

Some figures assume the trailer has brakes of its own and some do not, and the difference between those two cases is large. A number lifted from a brochure into a listing arrives with all of that stripped off, which is how a machine ends up towing something it was never rated to hold.

Gradient is the part that catches people. Pulling a load along the flat is a question of traction and gearing. Holding the same load on a descent is a question of brakes, and a light vehicle towing a trailer heavier than itself is being pushed rather than doing the pushing. Soft ground changes it again, since the effort needed to move a wheel through mud has little to do with the effort on tarmac. Reduce the figure for your own conditions instead of testing it.

Distribution, and the question that matters more than the total

A total tells you how much. It does not tell you where, and where is what breaks things. Weight placed at the back of a bed, behind the rear axle, acts on a lever: it presses the rear axle down harder than its own mass, and it lifts weight off the front, which is where your steering is. The vehicle feels light and vague at the front, the rear tyres run hot, and the machine is technically within its rating the whole time.

Height does the same to stability. A load stacked above the sides raises the centre of gravity, and a small vehicle with a short wheelbase and a narrow track is sensitive to that in a way a van is not. Load low, load forward of the rear axle, secure it so it cannot shift in a turn, and remember that a loose load is heavier when it moves. Tipping usually involves a load placed badly rather than a load that was simply too heavy.

Gradients, surfaces and stopping

Ratings are set for reasonable conditions, and your site may not offer them. A slope adds a component of the load to everything the transmission and the brakes are doing, continuously rather than in bursts. On a long descent that heat has to go somewhere, and on a light vehicle there is not much metal to put it into. Machines that show brake fade or a hot smell on a regular route are telling you that the load, the gradient or the driving needs to change.

Surface matters for the same reason. Rolling resistance on wet grass, gravel or mud is far higher than on tarmac, so a load that moves easily around a yard becomes a strain on a soft track. Traction falls at the same moment, which means a laden machine can be simultaneously unable to climb and difficult to stop. If your site has slopes and soft going, treat the maker's figures as a ceiling and work well below it.

Where the authoritative figure lives

The plate on the vehicle and its handbook are the source, and they refer to the machine in front of you rather than to a family of machines with the same name. Specifications change between build years and between markets, options alter what is left over, and a previous owner's modifications are on nobody's paperwork. If the plate is missing or illegible, the maker can usually confirm the figures from the serial number, and that is a call worth making before a load goes on.

What is not authoritative: a dealer listing, a marketplace advert, a forum post, a figure remembered from a similar machine, or what the last one seemed to manage without complaint. Advertising copy exists to compare well. Should a supplier be unwilling to point at where a number comes from, treat that as the answer. Comparing two machines honestly

Put both machines on the same terms before you compare anything. Take the total capacity, subtract the driver and every passenger you routinely carry, subtract the accessories already fitted, and see what is genuinely left for the load. Do the same for the bed rating and the axle. The result is often a good deal closer than the advertised headline, and occasionally it reverses the ranking entirely, which is exactly why the exercise is worth doing properly.

Then test against your heaviest routine job rather than your average one. If one day a week involves a particular load up a particular slope, that job specifies the machine and everything else is comfortably inside it. Overloading is rarely dramatic. It shows as brakes that need doing early, a transmission that gets hot, tyres wearing on their shoulders and bushes that never last, and by then the cause is months behind the symptom.
